Supplier shall maintain, and have available on a timely basis, quality records traceable to the conformance of product/part numbers delivered to PSS Inc. Supplier shall make such records available to regulatory authorities and PSS Inc. authorized representatives.
Supplier shall retain such records for 10 years from the date of shipment under each applicable order for all product/part numbers unless otherwise specified on the order. At the expiration of such period, PSS Inc. shall be notified of the intent to dispose of these records and PSS Inc. reserves the right to request delivery of such records to PSS Inc. at no additional cost on media agreed to by both parties.
Note: PSS Inc. requires that the provisions/requirements set forth above be included in the suppliers direct supply contracts as well as the obligation that they be flowed to the sub-tier supply chain.
Suppliers key to direct manufacturing of products related to AS 9100 standards, will be reviewed annually for overall performance. Reviews will be preformed on, but not limited to, responsiveness concerning; quality, documentation, packaging, and identification of product. We will also review timeliness of delivery and overall customer service.
Performance reviews will be available upon request to the reviewed supplier. Reviews will be maintained in accordance with PSS record retention set forth above.
Information for External Providers
The organization shall ensure the adequacy of requirements prior to their communication to the external provider.
The organization shall communicate to external providers its requirements for:
a. The processes, products, and services to be provided including the identification of relevant technical data (e.g., specifications, drawings, process requirements, work instructions);
b. The approval of:
- products and services;
- methods, processes, and equipment;
- the release of products and services;
c. Competence, including any required qualification of persons:
d. The external providers’ interactions with the organization.
e. control and monitoring of the external providers’ performance to be applied by the organization;
f. Verification or validation activities that the organization, or its customer, intends to perform at the external providers’ premises;
g. Design and development control;
h. Special requirements, critical items, or key characteristics;
i. Test, inspection, and verification (including production process verification);
j. The use of statistical techniques for product acceptance and related instructions for acceptance by the organization;
k. The need to:
- Implement a quality management system;
- Use customer-designated or approved external providers, including process sources (e.g., special processes);
- Notify the organization of nonconforming processes, products, or services and obtain approval for their disposition;
- Prevent the use of counterfeit parts (see details below);
- Notify the organization of changes to processes, products, or services, including changes of their external providers or location of manufacture, and obtain the organization’s approval;
- Flow down to external providers applicable requirements including customer requirements;
- Provide test specimens for design approval, inspection/verification, investigation, or auditing;
- Retain documented information, including retention periods and disposition requirements;
i. The right of access by the organization, their customer, and regulatory authorities to the applicable areas of facilities and to applicable documented information, at any level of the supply chain;
m. Ensuring that persons are aware of:
- Their contribution to product or service conformity;
- Their contribution to product safety;
- The importance of ethical behavior.
Prevention of Counterfeit Parts
The organization shall plan, implement, and control processes, appropriate to the organization and the product, for the prevention of counterfeit or suspect counterfeit part use and their inclusion in product(s) delivered to the customer.
NOTE: Counterfeit part prevention processes should consider:
- Training of appropriate persons in the awareness and prevention of counterfeit parts;
- Application of a parts obsolescence monitoring program;
- Controls for acquiring externally provided product from original or authorized manufacturers, authorized distributors, or other approved sources;
- Requirements for assuring traceability of parts and components to their original or authorized manufacturers;
- Verification and test methodologies to detect counterfeit parts;
- Monitoring of counterfeit parts reporting from external sources;
- Quarantine and reporting of suspect or detected counterfeit parts.
